Everything you need to now about meetings that are efficient and fun
The culture of meetings is essential for cooperation in teams. Nonetheless are meetings often unproductive, unfocussed, dominated by individuals or even ruined by bad presentations. Furthermore they require a substantial amount of our working hours, therefore it is imperative to establish productive procedures and reduce the number meetings as much as possible.
Aim of this workshop
Jeff Bezos attributes the success of Amazon among other things to the meeting culture he established at Amazon. Instead of a presentation at the beginning of a meeting a narrative of up to 6 pages is read silently by all participants which lays the ground for a discussion afterwards. We will work out the advantages of this method and explain how to make the best use of it. Additonal meeting techniques will be taught as well as ways to replace meetings with more productive methods. Participants know afterwards how to make productive use of meetings as a collaborative tool and what alternatives exist to reduce the number of meetings required in a company.
1 | Understanding meetings
First we examine what kind of meetings there are and why we actually meet. Then we look at typical meeting problems, e.g. presentation, moderation, discussion and decision making within a meeting, as well as meeting overload, meeting preparation and decision implementation before and after the meeting. Once we know the goals and problems of meetings, we show how to organise them differently and take a closer look at amazon-style meetings and why they work.
Beside the Amazon method we also provide recommendations regarding meeting length, number of participants, participant selection and the best time slots for meetings, as well as techniques to avoid unnecessary meetings and how to replace them.
2 | Change meeting culture
The second block discusses decision-making in meetings, moderation and discussion. This includes the six-hat method, systematic consensus building, fishbowl-discussions, secundary moderation, active listening and whoops the monkey. The goal is to empower particpants to actively lead meetings, include all meeting participants, induce honest opinions and make effective decisions while minimizing conflicts. For especially large meetings we can teach you the instruments parliaments and the UN are using to discuss issues and reach decisions.
Both blocks are organized as Amazon-style meeting, which means we provide a narrative for each block where we introduce our material in detail and which everyone reads in silence at the beginning of the block. The narratives can be taken home afterwards. After reading the narrative discussion starts and we explore the experiences and problems participants have with meetings and how to apply the methods and ideas in practice. Here we can also dive into the concrete meeting probblems a company faces and work out solutions specific for the company.
Our material rests upon years of experience collected in countless meetings in a multitude of surroundings (startups, middle-sized companies and corporations, university, public administration) as well as the newest research in psychology and corporate culture.
